What it's for

Reservations is forward-booking for a rental or fleet asset across a date range — distinct from Dispatch, which books a technician's time. It's where you check whether a unit is free before promising it to a customer, put a hold on it, and see everything currently reserved or out.

Reach it from Jobs → Reservations in the sidebar, at /reservations.

Tabs

There are no content tabs, but a Timeline / Board toggle switches the whole view between two layouts:

  • Timeline — a two-week Gantt-style calendar of holds and rentals by unit, with a legend for On rent, Reserved, Maintenance, and Available window.
  • Board — a weekly availability matrix showing how many units in each asset class are free to promise over the next several weeks, with a written constraint note.

Panels and controls

  • A date-range control steps the Timeline view two weeks at a time. A double-booking on the Timeline is flagged with a count in the header.
  • New reservation opens a slide-over: pick a Customer (optional), an Asset class, and a Start/End (expected) date range, then Check availability. That runs a live available-to-promise check against every unit in the class — each comes back marked free or in conflict, with a note explaining why. Hold on a free unit books it immediately; a conflicting unit's Hold button is disabled. A reminder under the list makes the boundary explicit: holding a unit reserves the asset, not a technician's time.
  • On the Board, clicking into a class's availability opens the same amend flow for an existing reservation.
  • Open Reservations below the calendar lists every quote or reserved hold with its unit, start, end, and status. Amend on a row opens a slide-over to change the unit, dates, or status of that hold. No open reservations is the empty state.
  • Below a certain screen width, the Timeline becomes a day-by-day agenda (today's pickups, what's coming up) and the Board becomes a flat free-units-per-class list — the same data, laid out for a phone.

What it accepts

FieldFormatRequiredRule
Asset classPick a classYes"Asset class is required."
EquipmentResolved from the availability checkYes"Equipment is required."; "Equipment not found."; "Only company- or vendor-owned fleet assets can be reserved."; "Vendor-owned equipment must be on hand before it can be reserved."
Start / End (expected)Date and timeYes"End date must be after the start date."
CustomerPick a customerNo"Customer not found."
StatusQuote or reserved, at creationYes"New reservations must start as a quote or a reserved hold."
NotesFree textNo

Amending or canceling a reservation that no longer exists returns "Missing reservation." or "Nothing to amend." A unit already held for an overlapping window returns "This asset is already reserved/out for an overlapping window ({n} conflicting reservation(s))."

How to configure it

  • Which equipment counts as reservable fleet — company- or vendor-owned, and on hand if vendor-owned — is controlled by each asset's own record under Equipment, not a setting on this page.
  • The Rentals capability must be turned on for the org for this screen to be reachable at all.

Who can see it

This screen sits behind the Rentals area and capability.

Owners and office managers can open it. Dispatchers do not have access to Reservations day to day — booking a technician's time happens on Dispatch, and asset-level forward booking is an office function. The gate is checked on the server, not just hidden in the sidebar, so a direct link does not get around it.
