Proposals
What it's for
Proposals is the quote pipeline — everything you have offered a customer and what has happened to it. A proposal here becomes a work order, a service agreement, a rental, a project, or an invoice once it is accepted, so this list is the front of most of the revenue in the product.
Reach it from Customers → Proposals in the sidebar, at /proposals.
Opening one goes to its record at /proposals/<proposal>.
Tabs
No tabs; five filters, each with a live count:
- All, Draft, Sent, Expiring, and Accepted.
Expiring is the one to work: a quote past its valid-until date is a lost sale that nobody decided to lose.
Panels and controls
-
Search covers the list — "Search proposals…".
-
Columns:
Column Shows # The proposal number Customer Who it is for Scope What is being proposed Status Where it stands Best option The highest-value option offered Expires The valid-until date Actions Per-row menu -
Row actions open the proposal, show the customer's view of it, or open the customer.
-
Bulk actions, once you tick rows:
- Mark as sent — record delivery you handled yourself.
- Send — deliver them to the customers.
- Send reminder — nudge the ones sitting unanswered.
- Duplicate — copy them as new drafts, for a similar job elsewhere.
- Archive — take them out of the working list without deleting them.

No proposals yet is the empty state.
What it accepts
The list writes little of its own. Where a line item is added inline, it comes from the price book — searched "by name, code, or category" — with a quantity against it.
| Field | Format | Required | Rule |
|---|---|---|---|
| Valid until | YYYY-MM-DD | No | "Valid until must use YYYY-MM-DD." |
| Price book item | Search and pick | Yes, per line | |
| Quantity | A number | Yes, per line |
A deposit can only be requested where deposits are turned on for your shop — otherwise the request is refused with "Deposits are not enabled for this org."
How to configure it
- Proposals settings decide the default validity period, the terms text, and how options are presented.
- Deposits settings decide whether a deposit can be requested against a proposal.
- Price book settings supply the catalogue and the tiers a proposal is priced at.
- Notifications settings decide what Send and Send reminder actually deliver.
Who can see it
This screen sits behind the Proposals area.
Owners, office managers and dispatchers can open it. Technicians cannot — a technician's recommendation from the field becomes a proposal here. The gate is checked on the server, not just hidden in the sidebar, so a direct link does not get around it.
