Inspection record

What it's for

An inspection record is one completed or in-progress inspection: what the technician found item by item, the readings they took, the photos they captured, the deficiencies they raised, and the report the customer sees. It is the evidence behind a maintenance recommendation.

Reach it by opening any row on Jobs → Inspections, or from the Inspections tab of a work order or a unit. The route is /inspections/<inspection>.

Tabs

  • Field fill — the checklist as the technician worked it: each item marked pass, flag, or fail.
  • Report — the customer-facing version of the same inspection.
  • Deficiencies — the problems found, each with a severity and a suggested price.
  • Readings — the measured values recorded on the visit.
  • Photos — what the technician captured.

Panels and controls

Fact strip

Customer, Unit, Technician, Duration, Agreement, and Work order — who, what, how long, whether it was covered, and which job it belongs to.

Side panels

  • Customer report — the shareable version. Create share link produces a link you can send; the customer opens it without an account.
  • Equipment — the unit inspected, with its Unit, Type, and a View link into the full equipment record.

Deficiencies

Each deficiency carries a Title, a Description, a Severity, and a Suggested price. This is the bridge from inspection to sale: a deficiency with a price on it is what a proposal is built from, and a severity is what tells the customer which ones cannot wait.

Empty states

No checklist items recorded, No deficiencies, No readings logged, and No photos each name the part of the inspection that has not been filled in, so a half-done inspection reads as half-done rather than broken.

Checklist items themselves take a pass, flag, or fail plus whatever reading the template asks for; the template decides which items require a value.

How to configure it

  • Inspection templates decide what the checklist asks and which readings are required. The template is snapshotted when the inspection starts, so changing it later does not rewrite this record.
  • Compliance settings decide which readings count toward a compliance obligation.
  • Customer portal settings decide whether a shared report link is available.

Who can see it

This screen sits behind the Inspections area.

Owners, office managers and dispatchers can open it. Technicians fill the same inspection in from the field app. A customer sent a share link sees only the report, not the internal record. The gate is checked on the server, not just hidden in the sidebar, so a direct link does not get around it.
