Install and label customer equipment
Adding a unit to a customer's record — and printing a label for it — happens from that customer's Equipment tab, not from the org-wide Equipment list.
Before you start
A unit has to attach to a real service site, so the customer needs at least one site on file first. If they don't, add it from the customer record before you start here.
Add a unit
Open the customer, go to Equipment, and choose Add unit. This is a two-step flow:
- Capture — take or upload a photo of the nameplate and Thermal reads the make, model, serial number, and other data plate fields off it to pre-fill the form. If there's no nameplate to photograph, choose Enter by hand instead and skip straight to the form.
- Confirm — every field from the scan is editable before you save nothing is written to the record until you submit. Fill in whatever the scan missed: service site (required), equipment type (required), make, model, serial number, install year, refrigerant, tonnage, warranty status/dates, and — if this unit needs usage-based maintenance — a meter unit and threshold.
Nothing else is required beyond the site and equipment type, so you can save a unit with partial data and fill in the rest later from its record.
Print a label for one unit
Open the unit's record from the customer's Equipment tab and find the Asset QR Label card. Choose Generate label the first time (this creates the unit's permanent QR token) or Print label if a label's already been generated. Either takes you to a printable page — use your browser's Print (or Save as PDF) to produce the physical label.
Print labels for a whole site
From the customer's Equipment tab, use Print labels next to a site that has equipment on it. This lays out one QR label per unit at that site on a single printable page, so you're not generating labels one at a time during an install.
What scanning the label does
The label's QR code points to a public page for that one unit — no sign-in required. Anyone who scans it sees a safe summary only: the unit's identity (type/make/model/serial), its site's city and state, whether it's covered by a service agreement (status only, never the price or term), a recent service-history summary, and any open deficiencies (title and description, no pricing or internal notes). If the person scanning is signed in to Thermal and belongs to the same organization, they also see a link through to the full staff record.
