Thermal can run equipment rentals alongside your service business — spot coolers, gensets, chillers, cooling towers, the same fleet you already maintain, offered out on a rental agreement instead of (or in addition to) being installed at a customer's site. Rentals is where that fleet gets booked, tracked, and billed. This is an Owner/Office surface — Dispatchers and Technicians don't see it.

Retail vs. contractor rentals

Thermal splits rentals into two books, reached from separate tabs:

  • Retail (/rentals) — day-rate and short-term rentals to your regular customer base.
  • Contractor (/rentals/contractor) — wholesale rentals to B2B accounts, priced off the wholesale rate card instead of the standard list.

Both share the same underlying equipment fleet and rate resolver; they're separated because the pricing and the customer relationship are different, not because they're different features.

The rental list

The list shows every rental agreement with its customer, unit, status, billing cadence, and rate. The header strip totals units on rent and billing this cycle so you can see fleet utilization at a glance.

Filter by status using the tabs above the table:

  • On rent — currently out with a customer.
  • Reserved — booked for a future date but not yet picked up (see Manage reservations for the booking calendar that creates these).
  • Closed — returned, canceled, or otherwise settled.
  • Overdue and Quotes — reserved tabs for two states Thermal doesn't track yet on a rental agreement (a due-back date and a draft-vs-committed distinction). They render, but stay empty for now rather than guessing.

Create a rental

Choose New rental from the list (or the floating action button on mobile). Pick the customer, the unit, and the term. Thermal resolves the rate at creation time from the rate tables — it never carries over a stale or hand-typed number. See Build rental rate tables for how that price actually gets picked.

Working an agreement

Open any row to see the full agreement: term dates, rate, billing history, and unit condition notes.

To act on several rentals at once, select their checkboxes in the list and use the bulk toolbar:

  • Bill now — generate an invoice for the selected rentals outside the normal billing cycle.
  • Extend term — roll the term forward. If every selected rental shares the same approved rollover date, that date prefills automatically so a fleet-wide renewal doesn't mean re-entering it row by row.
  • Mark returned — close out the rental once the unit is back.
