Reservations books a piece of rental equipment for a future date range — distinct from the dispatch board, which books a technician's time. Use it to hold a unit for a customer before it goes out on a rental agreement, and to see at a glance what's free to promise over the coming weeks. Like the rest of Rentals, this is an Owner/Office surface.
Two views
The header toggles between two ways of looking at the same booking data:
- Timeline — a Gantt-style board, one row per unit, showing where each is booked over the next two weeks. Bars are color-coded: on rent (ember), reserved (blue), maintenance (amber), and available window (green). A double-booking — two commitments overlapping on the same unit — is flagged directly in the header count, not buried in the timeline.
- Availability — a weekly-aggregate board: how many units of each asset class are free to promise, six weeks out. Use this when you're quoting a customer and need to know if you can cover a date before you commit, without scanning individual units.
Book a reservation
Choose New reservation and fill in:
- Customer (optional at this stage).
- Asset class — the kind of unit you're reserving.
- Start and End (expected) — the date range.
As soon as an asset class and date range are set, Thermal checks every unit in that class live against existing bookings — no separate "check availability" step. Each unit shows as free (green) or Blocked (red, disabled) right in the picker, so you commit to a unit you can actually promise, not one that turns out double-booked after the fact. Choose Hold on a free unit to reserve it.
Reading the timeline
The timeline window defaults to the next 14 days from today; use the date range control to move it. Weekend columns are shaded so a multi-week booking against a weekday-only crew is easy to spot.
Mobile
On a phone, the timeline and availability board are replaced by a day-agenda view — today's pickups, upcoming reservations, and a compact availability-by-class snapshot — rather than trying to cram the desktop grid into a narrow screen.
How a reservation relates to a rental agreement
A reservation is a hold on a piece of equipment's availability — it's not itself a billable rental. A Reserved hold can optionally be linked to an existing rental agreement, but writing the agreement itself (customer, term, rate) is still a separate step on Rentals. Once a unit actually goes out, its reservation moves to Out; once it's back, Returned. A quote-only hold can also simply be Canceled if the customer doesn't commit.
