Customer portal (admin)

What it's for
Customer portal in the office app is where you "invite and manage customer access". It is the control side of the portal your customers use: who has access, what they can see, and whether anyone is actually using it.
Reach it from Marketing & Portals → Customer portal in the sidebar, at
/portals/customer.
Tabs
- Access & roles — who has been invited and what access they have.
- Portal settings — what the portal exposes.
- Usage — whether it is being used.
Panels and controls
Fact strip
Type, Sites, Members, and Plan for the selected customer.
Access & roles
Search customers… finds an account. Columns: Email, Status, Invited, and Access. An invite is sent to an email address ("name@company.com"); access can be revoked later.
Inviting a second person at the same customer is how a facilities manager and an accounts-payable clerk both get in without sharing one login — worth doing for any commercial account.
Portal settings
Feature and Included show which sections the portal exposes. Not configurable yet appears against anything that is fixed at your plan level rather than adjustable.
Usage
Whether invited customers are actually signing in. No activity yet on a customer you invited a month ago is a prompt to mention the portal next time you speak to them, not a fault.
Empty states
No customers yet, No one invited yet, Not configurable yet, and No activity yet.
What it accepts
| Field | Format | Required | Rule |
|---|---|---|---|
| Customer | Search and pick | Yes | "Customer id is required."; "Customer not found or not authorized." |
| An email address | Yes, to invite | "An email address is required."; "Could not send the portal invite. Try again." | |
| Revoke | A single action per member | Yes, to revoke | "Could not revoke portal access. Try again." |
How to configure it
- Customer portal settings decide which sections the portal exposes.
- Plan decides which portal features are available to your shop at all, which is what the "not configurable yet" rows are telling you.
- Branding settings decide how the portal looks to your customers.
- An invite can also be sent from the customer record, which is usually the faster path when you are already there.
Who can see it
This screen sits behind the Portals area.
Owners and office managers can open it. Dispatchers and technicians cannot — granting a customer access to their account is an admin decision. The gate is checked on the server, not just hidden in the sidebar, so a direct link does not get around it.
The full role matrix is on Roles & permissions.
