Data exports

Open Settings → Data Exports in Thermal →

What it's for

Data exports lets you pull all of your organization's data out of Thermal in a machine-readable format — for a backup, a migration, or just to have a copy off-platform. It sits next to Audit log and Capabilities as one of the org's oversight tools; there's no per-record export here, only a full-tenant one generated in the background and downloaded when it's ready.

Reach it from Settings → Integrations & data → Data exports in the sidebar, at /settings/data-exports.

This screen has no tabs. It's two stacked sections: Export history, then a plain list of What's included.

Export history

Generate export starts a new export; it runs in the background rather than blocking the page. Each row shows Status, Requested, Completed, Expires, and a Download button once it's ready. A failed export shows its error message under the status badge instead of a download link. A finished export is available to download for 7 days — after that, the Expires date passes and the download link stops working; you'd need to generate a new one. With no requests yet, the screen shows "No export requests yet" and points you at the button.

What's included

A plain list of what the export covers: customers and contact information, equipment and service history, service agreements, work orders and line items, invoices and invoice line items, warranty claims, and references (not the files themselves) for portal documents and work order attachments. Attachments are deliberately not embedded in the export to keep file sizes manageable — the manifest included in every export lists their storage references instead, so you know what exists even though the bytes aren't bundled in.

What it accepts

This screen has no input fields to fill in — Generate export takes no parameters. There's nothing to configure per export; every export covers the same full set of tenant data listed above.

How to configure it

Nothing configures what an export contains — it's always the full tenant export listed above, not a filtered or per-module one. Downloading requires re-verifying ownership on the server each time; the underlying file storage location is never exposed directly, only through the owner-gated download route. There's no setting anywhere else in the app that changes what shows up here.

Who can see it

Data exports is owner-only. The sidebar link only shows for owners, and the page itself redirects any office manager who navigates to the route directly back to Settings — this is one of the few settings screens where office access does not extend past the sidebar. Dispatchers and technicians cannot reach Settings at all.
