PM material requirements

What it's for

PM Material Requirements is where you declare the bill of materials each equipment type needs on a routine PM visit — a standard filter, a set of belts, whatever a tech reliably uses on that kind of unit. It sits upstream of purchasing: the Purchasing Staged Demand review groups unmet requirements on open PM jobs into vendor draft purchase orders, so what you declare here drives what shows up there.

Reach it from Settings → PM Material Requirements in the sidebar, at /settings/pm-material-requirements.

Tabs

This screen has no tabs. Requirements are grouped into sections by equipment type, each with its own table.

Declared requirements

Add requirement opens a dialog to declare a new (equipment type, inventory item) pairing. Requirements are grouped under a heading for each equipment type, sorted alphabetically by the type's display name.

Each group's table has: Item (the inventory item's name), Qty per visit, Vendor (the item's preferred vendor, or a Needs vendor badge if none is set), Notes, and Actions. A footer under each table shows the item count for that equipment type. Remove takes a row out with a confirmation first: "This item will no longer be required on PM visits for this equipment type. Existing draft POs are unaffected."

When nothing is declared yet, the screen shows "No PM material requirements declared yet" with its own Add requirement button.

Equipment type and Inventory item dropdowns, Quantity per PM visit, and an optional Notes field. If your org has no inventory items on file, the item dropdown is disabled and shows "No inventory items on file yet." instead of a picker. An item without a preferred vendor is labeled "— needs vendor" right in the option list, so you can see the gap before you save.

Declaring the same equipment type and item combination twice doesn't create a duplicate row — it updates the existing requirement's quantity and notes in place.

Removing a requirement requires an existing id — "Requirement is required." if none is passed, "Requirement not found." if it's already gone.

How to configure it

  • Inventory is where the items you pick here come from, and where each item's Preferred vendor is set — a requirement pointing at an item with no preferred vendor still saves, but shows the Needs vendor badge until you fix that on the inventory record.
  • Purchasing → Staged Demand is the downstream consumer: it reads open PM jobs against these requirements and groups anything unmet into a vendor draft PO, split by vendor.
  • Removing a requirement here doesn't touch any purchase order already drafted from it — those stay as they were.

Who can see it

  • Owners and office managers can view and edit PM material requirements from the Settings area.
  • Dispatchers and technicians cannot reach Settings at all.
